The world of influencer marketing is fast-paced, and having a reliable virtual assistant (VA) can be a game-changer. Whether you’re an influencer looking to expand your brand or a VA stepping into a new role, the introductory meeting sets the tone for a successful partnership. Here are some top tips to ensure your first meeting is both productive and enjoyable.

1. Set Clear Objectives
Before diving into the meeting, both parties should come prepared with clear objectives. As an influencer, outline your expectations, goals, and what you hope to achieve with the help of a VA. Virtual assistants should be ready to discuss their skills, experience, and how they can contribute to the influencer’s success.

Create a list of tasks and projects you’d like assistance with. This will help the VA understand your needs and how they can best support you.
VA Tip:
Review the influencer’s online presence and brand. Come prepared with ideas and suggestions on how you can add value and streamline their tasks.
2. Choose the Right Communication Tools
VA Tip:
Be flexible and adapt to the influencer’s preferred tools and communication style. Demonstrating your adaptability can make the transition smoother. Myself, as the Virtual Assistant typically always send the meeting invite. I tend to use Google Meet as the first introductory meeting platform.
3. The Meeting Flow
I start out every meeting with a personable greeting & then after that I go into a brief spiel explaining our background and what we do! Before you even set the meeting time I recommend sending over a portfolio with examples of work & your pricing. It is never a good idea to go into a meeting where the potential client doesn’t have a clear idea of what they’re getting into.
Being open up front will help prevent any awkward communication.
4. Let Them Discuss Themselves
The goal of the meeting should be to show how the potential client can’t live without you. Ask questions and listen to all the details of their business. I like to take notes at this point and it is always helpful to touch on those points in the closing to show that you were attentive.
5. Discuss Confidentiality and Boundaries
After both giving our spiels about the background of our businesses & more details about services I always like to inform them about the steps we take to protect their business.
Influencer Tip:
Clearly define what information is confidential and set expectations for how it should be handled.
VA Tip:
Assure the influencer of your commitment to maintaining confidentiality and professionalism. Just a note- I recommend using the app LastPass. I have used them since the beginning and have never had any issues!
6. Next Steps
After answering all questions and giving info on our accessibility, communcation, business practices, etc. I always like to talk about what the next steps would look like. In our onboarding process I always send a recap email directly after the meeting. I thank them for their time and touch on the points we discussed.
7. Wrapping Up
I tend to set the first initail meeting as a 30m call. The best calls I usually am able to do in fifteen! You should be able to give your spiel in about 90 seconds! Get straight to the point and learn how to wrap it all in a bow. Focus the conversation around them and how you can serve them. Come into the meeting well prepared. It is not a good look to be late, however I think it would be better to be five minutes late and know everything about their business & make personal connection, than be on time and know nothing. Just my two cents!
